Last updated: 28 October 2026
OMBPSync is the data controller for personal data collected through ombpsync.co.uk. This policy explains what we collect, why, and your rights under UK GDPR and the Data Protection Act 2018.
1. What we collect
- Account details: name, email address, organisation and sector.
- Brand material you upload or create: logos, colours, wording, briefs and designs.
- Order details: delivery name, address and phone number.
- Payment records (card details are handled by Stripe; we never see your full card number).
- Basic technical data such as approximate location from your IP address, used to show prices in your currency.
2. Why we use it
- To provide your account, studio and print orders (contract).
- To take payments and keep tax records (legal obligation).
- To send service emails such as quotes, order updates and receipts (contract).
- To keep the service secure and improve it (legitimate interests).
We do not sell your data and we do not send marketing emails without your consent.
3. Who we share it with
Only trusted providers that help us run the service: our hosting and database provider, Stripe for payments, Gelato and our OluMic press for printing and delivery, our email delivery provider, and AI providers that process your design prompts. Some providers operate outside the UK; where they do, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses.
4. Batch ID cards and certificates
Names and photos entered into the batch cards tool are processed in your browser and are not uploaded to our servers.
5. How long we keep it
We keep account data while your account is open. Order and payment records are kept for 6 years for tax purposes. You can delete designs and briefs at any time; deleted items cannot be recovered.
6. Cookies
We use essential storage only, to keep you signed in and remember choices like your currency. We do not use advertising cookies.
7. Your rights
You can ask to access, correct, delete or export your data, or object to or restrict how we use it. Email hello@ombpsync.co.uk and we will reply within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
